Position Overview
The Payroll Support Specialist is responsible for assisting with the preparation, processing, and administration of payroll for employees. This role ensures payroll is processed accurately, maintains employee compensation records, resolves payroll-related inquiries, and supports compliance with federal, state, and local payroll regulations.
The ideal candidate is detail-oriented, organized, and capable of handling confidential information with professionalism.
Key Responsibilities
Payroll Administration
- Assist in processing bi-weekly and monthly payroll accurately and on schedule.
- Review employee timesheets and attendance records for accuracy.
- Verify new hire, termination, and compensation information.
- Process overtime, bonuses, commissions, and reimbursements.
- Maintain payroll records and employee compensation data.
Employee Support
- Respond to employee payroll questions and resolve discrepancies.
- Assist employees with payroll forms and direct deposit changes.
- Support HR with onboarding and payroll documentation.
- Maintain confidentiality of employee information.
Compliance & Reporting
- Ensure payroll complies with federal, state, and local regulations.
- Assist with payroll tax reporting and year-end documentation.
- Prepare payroll reports for management.
- Support internal and external payroll audits.
Process Improvement
- Help improve payroll procedures and workflows.
- Assist with payroll system updates and testing.
- Maintain accurate digital payroll records.
Required Qualifications
- Associate's or Bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or a related field (preferred).
- Minimum of 2 years of payroll, accounting, or finance experience.
- Knowledge of payroll processing and payroll regulations.
- Experience using payroll software such as ADP, Paychex, QuickBooks Payroll, Workday, or similar systems.
- Strong Microsoft Excel skills.
- Excellent attention to detail and organizational abilities.
- Ability to handle confidential information with discretion.
- Strong communication and problem-solving skills.
